Privacy Policy

This Privacy Policy describes how Haven Haus Windows & Doors Ltd. ("Haven Haus", "we", "us") handles information in connection with Deal OS, our internal back-office automation platform. Deal OS is a private system used solely to operate Haven Haus's own sales and accounting workflow. It is not offered to the public or to third parties.

1. Scope

This policy applies to information processed by Deal OS as it connects to services and accounts owned and controlled by Haven Haus, including QuickBooks Online (Intuit), Google Drive, DocuSeal, and our own databases and infrastructure. Because Deal OS is an internal tool, the individuals whose information it processes are primarily our customers and suppliers, in the ordinary course of providing windows and doors and recording the related transactions.

3. How we use information

Information is used exclusively to operate Haven Haus's internal business processes: preparing and issuing quotes, agreements, invoices and receipts; recording transactions and payments in our accounting system; reconciling and reporting on our own finances; and maintaining accurate business records. We do not use this information for advertising, and we do not sell it.

4. QuickBooks Online (Intuit) data

Deal OS accesses Haven Haus's own QuickBooks Online company through Intuit's authorized OAuth 2.0 connection. We request only the access needed to read and write our accounting records (the com.intuit.quickbooks.accounting scope). We use Intuit data only to operate our own books, store it in line with this policy, and never transfer it to unrelated third parties. You can revoke Deal OS's access to QuickBooks at any time from within your Intuit/QuickBooks account settings.

5. Service providers

Deal OS relies on a small set of service providers to function, each acting on our behalf and only to the extent needed to deliver their service: Intuit (QuickBooks Online), Google (Drive), DocuSeal (e-signature), and our hosting, database, and secrets-management providers. We do not sell or rent personal information to anyone.

6. Security

We protect information using encryption in transit, restricted service-role access, dedicated secrets management, and access controls limited to authorized personnel. Authorization tokens are stored in a protected datastore with row-level security and are never exposed in source code.

7. Retention

We retain business and accounting records for as long as needed to operate our business and to meet legal, tax, and accounting obligations under applicable Canadian law, after which they are deleted or anonymized.

8. Your rights

Consistent with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial law, individuals may request access to, or correction of, personal information we hold about them. To make a request, contact us using the details below.

9. International processing

Some of our service providers may process or store data outside Canada. Where this occurs, we rely on providers that maintain appropriate safeguards for the protection of that information.

10. Changes

We may update this policy from time to time. Material changes will be reflected by updating the effective date above.
